A day in the life of a Project Manager at hyperexponential

What do Project Managers do at hyperexponential? Meet Yasmin Marsh, a Project Manager who joined our team in 2024. She walks through a typical day at our London office.

Hi, I’m Yasmin, and I’m a Project Manager (PM) here at hyperexponential. My role sits within the Revenue team in the Customer function. I’m based out of the London office and live in South-West London so the commute isn’t too bad - shout out to the Northern line!

As a PM here at hyperexponential, we support our client accounts on anything project related, from model builds to integrations to commercials and beyond. Additionally, the PM team are all responsible for an internal project each. Mine is an internal OKR to deploy our product offering in a new marketplace.

Post our $73m Series B funding round, we’ve been on a strong growth trajectory. As such, there are always tasks to do that support on this journey. All PMs within the team have access to a master builder list which showcases outstanding tasks. We can look through the list to find where we can support other areas of the business through our PM skills and experience. I assign 2 hours a week of my calendar to supporting on these tasks, because a stronger hyperexponential benefits our clients, too!

So, what does a day in the life of a PM look like?

Morning

I start my day by arriving to our members co-working space, The Ministry. I like to grab a fresh smoothie from the Deli before heading upstairs to start my day. Once I’ve arrived to my desk, I begin by scanning my emails/Teams, actioning any key asks and requests from clients.

After that, I spend 5 minutes planning today’s to do list. Whilst part of being a PM is availability for ad-hoc client requests and support, the meeting-heavy nature of the role means I always know when I will be on calls. I find it really helpful to plan both my input and expected outputs for them.

Most days, the PM team kicks things off with a team stand up. We use these sessions to share lessons learnt from the previous day, update other stakeholders on today’s tasks, and cover any other business.

Every morning I also have a client stand up. We’ll go through any number of topics, from model build demo's to reviewing new requirements, all the way to financial reviews. After these sessions, the model development team and I take away any urgent requests and blockers to action.

The final call for the morning is often a customer team led call. Today I have a triage and status meeting. In this session, we review any client facing tickets— SSO requests, whitelisting to theming changes, and much much more. The regular nature of these drop ins means we’re always up-to-date on IT and support related updates for our clients. We can also feedback directly if they experience any issues.

Lunchtime

It’s now time for lunch! I like to utilise the office facilities and (on a good day) sit outside on the terrace with the team, catching up on our mornings so far and what the rest of the day looks like.

On a day where I haven’t managed to meal prep lunch, the Deli at the office has a great selection of salads, sandwiches and sweet treats to choose between.

Afternoon

Back at my desk, I kick start the afternoon with an internal sprint planning session. At hyperexponential, we tend to operate a 2 week sprint cadence. As such, on a fortnightly basis the model development team and I get together to plan the following sprints backlog. Through reviewing our clients requirements and best practices shared from past experience, we can create a sprint plan that maximizes on deliverables for the client, whilst maintaining high standards of delivery.

We bake in feedback time, understanding that the agile nature of our builds means we can always iterate to best support our clients

Following this, it’s time to action a few key tasks for my clients. At hyperexponential we value transparency and detailed financial reporting across our accounts. Following best practice, we provide project commercial reviews that track sprint burndown; hours tracked to date per feature and costs. These can be tailored towards different clients depending on their own reporting habits and how they like to see the data shown.

This allows us to remain always accountable to the client projects, whilst also allowing the client to see the levels of work we invest in their model builds and wider project tasks

As mentioned previously, everyone on the PM team owns an internal project to support on the development of the company. Today, it’s time for our fortnightly project steerco. In this session, we bring together key stakeholders from the Exec team and wider business to review progress within the project, address any blockers and align on future work. In my role as a PM, I am responsible for running the sessions, creating the agenda and making sure every attendee has the required updates for areas they own.

Post these sessions, I create and share a steerco wrap, which captures all key updates and actions for those involved in the project.

It’s time for a quick break now, so I head over and grab a Diet Coke and Graze bar from the snack corner. Shout out to our office manager who has increased the quality of treats recently!

After a quick re-fresh, it’s time for my final meeting of the day. To encourage us to move more often and to get a change of scenery, we have started implementing walk and talk sessions between the Project Management and Customer Success team.

I head on out for my 1:1 with my CSM. We review any updates across the account and look to mitigate any issues that may result in negative customer sentiments.

After that, it's time to pack up and finish for the day. Luckily, employees here get free access to the gym downstairs so I head downstairs to complete my week 2 on my half-marathon in Runna plan.
